Cancellation Policy

The Booking Policy establishes a structured process for requesting, scheduling, and managing Validation, Regulatory, and Engineering services to ensure compliance with GxP, FDA, ISO, and internal quality standards. All service requests must include project details, documentation readiness (such as URS, SOPs, or design specifications), resource needs, and preferred timelines. Requests are reviewed within two business days, and work is not confirmed until a schedule, resource assignment, and required QA approvals are in place. Advance notice is required for most activities—ranging from 7 to 20 business days depending on the service type—to ensure proper planning and resource allocation. The policy also defines procedures for changes, rescheduling, and cancellations. Change requests must be submitted in writing and are evaluated based on impact and resource availability. Cancellation fees apply depending on how close to the scheduled date the cancellation occurs, with same-day cancellations incurring full charges. Any cancellation or delay affecting regulatory timelines, audits, or CAPA commitments must be escalated to QA and management. All booking records, approvals, and communications must be documented and retained per QMS requirements, following ALCOA+ principles to maintain data integrity.
